Enhance the EPR System Workflow

Objective: Enhance the EPR System Workflow

Understand the Current Workflow of the EPR System

  • Comprehend the various processes and tasks performed within the system, including data storage and exchange.
  • Achieve this by interviewing stakeholders, observing users, and reviewing documentation.

Identify the Requirements for the New EPR System

  • Determine the necessary features, functionality, and performance and security requirements.
  • Collaborate with stakeholders to define their needs and requirements.

Evaluate Different EPR Systems

  • Assess various available EPR systems to identify the one that best meets the requirements of Yorkshire Ambulance.
  • Review vendor documentation, conduct demos, and gather insights from other users.

Communicate Pain Points and Workflow Bottlenecks

  • Identify and articulate the challenges and inefficiencies in the current workflow.
  • Establish specific areas within the EPR system that require improvement.

Actions to Achieve the Objective

Interview Stakeholders

  • Conduct interviews with EPR system users, system administrators, and technical staff.
  • Gather insights about their daily tasks, challenges faced, and suggestions for improvements.

Observe Users

  • Observe users interacting with the EPR system.
  • Identify how the system is used and pinpoint where users encounter problems.

Review Documentation

  • Examine user manuals, process documentation, and other relevant documents.
  • Gain a thorough understanding of the system’s features and functionality.

Develop a Transition Plan

  • Create a structured plan for transitioning to a new EPR system.
  • Include steps for data migration, user training, and system support.

Monitor the Performance of the New EPR System

  • Track the new system’s performance to ensure it meets Yorkshire Ambulance’s needs.
  • Monitor availability, performance, and security metrics.

Conclusion

The exercise remains incomplete. Stakeholders and users have indicated that additional issues may exist in other modules. However, the exercise was halted to focus on user feedback regarding the contextual launch and due to management’s instruction to pause all actions related to transitioning to the iPad-driven EPR until approval is received from the TEG.

Once approval is granted, we will resume engagement with users to identify pain points and implement enhancements, ensuring a smoother transition and enabling users to perform their duties effectively on the new EPR platform.
